Manual — ULTRA room

Tasks, checklists and the COC button

Three separate room modules. They are off by default: Dronetrake assigns them on request, attached to ULTRA or to Broadcasts. Without a module the room stays as it is.

Tasks for agencies

From the room you give a task to an agency or an outside person, even without an account, and follow how it is going. Tasks exist only inside an open activation.

Prepare the list under Prepare → Agencies, or write name and phone on the spot. In the room open Tasks, then New task: who, what, the point on the map and, if needed, a reference code or link. Do not write patient names or health data: that data stays outside, the task only holds the reference.

One SMS goes out with the link. Whoever opens it does not need to register: they declare their name and who is working, then use the large buttons: Accepted, On the way, On site, In progress, Closed. Problem raises an alarm in the room, which stays on top until someone takes it in hand. The name is recorded as declared, not as a verified identity.

The link lasts 12 hours and stops when the task or the activation ends. If it has expired, a new one is requested from the page and the room approves it. The room can update the status by hand after a phone call and can revoke the task with a reason. The point on the map changes colour only when the status changes.

Room checklists

Under Prepare → Room checklists you write the lists for each emergency: call a committee, activate a vehicle, send documents to the Region. At activation open Checklist and recall the list: the items are copied, so changing the template later does not change what happened.

Anyone in the control team can tick. A normal item closes with a tick or with Skip and a reason. A mandatory item closes only with a tick, but it never stops the work: it counts when the activation is closed, which asks for the reason. Ticks and reasons, with who and when, go into the dossier.

The COC button

It also needs the Checklist module. In the template an item can have an action: ask for confirmation by SMS, or give a task already filled in with agency, phone, point and reference. Once the list is recalled nothing starts.

Then there are two ways: Start, on the row, for one item; Start everything, the red button, for all of them. A summary shows who receives what, and only Confirm starts it: nothing ever starts by itself. Above 20 items a minute, sending waits its turn.

Each item shows the receipt: queued, sent, link opened, confirmed, not available with the reason. It ticks itself only when the recipient confirms or accepts, not when the SMS leaves. A refusal leaves the item open, with the number to call at hand.
